Daily Cleaning Routine for an Unmanned Coffee Machine

In one line: Three touch points, once a day, around five minutes — done between peaks, logged on one page.

Key facts: outlet wipe-down | drip tray rinse | ingredient path visual check | fixed between peak windows | one-page log with exception column

Why a five-minute limit is the point

A daily routine only works if it fits inside the shift that already exists. At a transit site the same person usually refills stock and checks the machine, so a routine that runs long gets skipped on the busiest days — exactly when it matters most.

That is why we keep the daily list at three items and move everything else to a weekly schedule. The daily list is about what customers can see and touch; the weekly list is about what only a technician should open.

The three items, in order

Start with the outlet: with the machine stopped, wipe the outer ring and the panel underneath. Look for powder or dried droplets. If either is present, the previous cycle was not wiped, and that observation belongs in the log.

Next, the drip tray: lift it out, empty it, rinse it, put it back. This is the item most often skipped and the one customers notice first — a tray with standing liquid reads as neglect, whatever the machine's internal state.

Third, the ingredient path — visual only, no disassembly. Confirm the lids are seated, the tubes are not kinked, and the level is not close to the lower mark. The point is to catch a near-empty canister before the machine has to report it.

Slot it between peaks, not inside one

Cleaning stops the machine for a few minutes. Inside a morning peak that stop is a real loss, because the window is often only sixty to ninety minutes long. Fixed right after the peak and before the flat period, the same few minutes cost almost nothing.

Where a site has no clear trough, split the routine: outlet and tray between two waves of customers, ingredient path at closing. Two short stops are easier to sustain than one long one.

Keep only the tools you need on site

Three items stay at the site: a dedicated cloth, a spray bottle of clean water, and disposable gloves. Everything else travels in the service bag. Tools left on the machine are the ones that go missing and the ones that turn into a hygiene blind spot.

Colour-code the cloths by site and never share one cloth across two machines — otherwise the routine moves residue from one unit to the next.

The log that survives a change of staff

Three columns are enough: date and time, items completed, exceptions. A twelve-column form gets filled in afterwards, which defeats the purpose.

At handover, read only the exception column. The same residue point or the same kink three days running is not a cleaning problem; it points to an outlet part or a canister assembly that needs a technician.

And keep the log somewhere the next person can read it. A record that lives on one phone is a record that does not exist.

Common questions

How long should daily cleaning take?

About five minutes for the three daily items. Anything longer tends to be skipped on busy days, which is when it matters most.

Does daily cleaning require opening the machine?

No. All three daily items are external. Internal cleaning follows the manufacturer's schedule and is carried out by trained service staff.

When should the routine be scheduled?

Immediately after a peak and before the flat period. On sites with no trough, split the routine into two short stops.

Can one cloth be used across machines?

We advise against it. Colour-code by site and keep one cloth per machine to avoid moving residue between units.

What should the cleaning log contain?

Date and time, items completed, and exceptions. Review only the exception column at handover, and escalate repeated exceptions.
